Privacy Policy

This policy describes personal information handled when you browse Vibra Media, create an account, run an AI audit, send an enquiry or book a call.

Accounts and audit information

We store your name, email address, password hash and any profile details you choose to save. Passwords are not stored in plain text. Session cookies keep you signed in; password-reset and email-verification links expire after one hour.

For an audit, we store your submitted public homepage, confirmed brand and market context, prompts, provider responses, citations and dated results. Your account can access audits created while you are signed in. A private result link also provides access to its specific audit; do not share it with anyone you do not want to have access.

How we use information

We use this information to provide account access, retrieve the public homepage you submit, run the confirmed AI queries, save results, deliver requested account and audit emails, respond to enquiries and protect the service against abuse. Please do not submit sensitive personal information in audit prompts or general enquiries.

Service providers

Audit prompts and relevant confirmed business context are sent to the AI API providers selected for the audit. The quick audit uses OpenAI and Anthropic; each saved observation identifies its actual provider and model. These services may perform web searches to support their answers. The marketing pages' illustrations are separate from your saved results.

The service also uses hosting, database, queue and transactional-email infrastructure. Production email is configured for Postmark. Booking a call opens TidyCal, and service purchase links may open a separate checkout. Those services have their own privacy terms. Local development email stays in the local test inbox and is not delivered to a real recipient.

Storage and retention

Audit results and private links expire after 30 days. Expired audit data is removed by the retention process. Operational records have a 90-day retention period. Account details remain until you delete the account. Sessions expire after seven days or when you sign out; resetting your password revokes existing sessions.

The portal uses browser storage for in-progress drafts and recently viewed results. Signing out clears the workspace data in that browser. Account settings let you update your profile or delete your account. Audit deletion revokes result access immediately and queues removal of the stored audit evidence.

Cookies and analytics

Necessary session cookies support account access. Optional analytics are loaded only when configured and accepted through the site's consent controls. You can withdraw optional consent through Cookie settings. See the Cookie Policy.

Your choices and rights

Depending on where you live, you may have rights to access, correct, delete or obtain a copy of your personal information, and to object to or restrict processing. Contact support@vibra-media.com with your request. We may need to verify your identity before releasing or changing information.

This service is intended for business users and is not directed to children. We do not sell personal information. We may update this policy as the service changes.
